Our practice focuses on the treatment of temporomandibular disorders, chronic facial pain and dental sleep medicine.
We are looking for someone warm, organized, proactive, and comfortable taking ownership. The right person enjoys helping people, solving problems, managing details, and contributing to the growth of a specialized healthcare practice. Experience is valued, but attitude, communication skills, integrity, emotional intelligence, and a genuine commitment to excellent patient service matter most.

Responsibilities
  • Serve as the welcoming first point of contact for new and established patients, referral offices, and callers.
  • Answer phones, respond to inquiries, manage voicemail, and follow up with prospective patients and referrals.
  • Schedule appointments efficiently and thoughtfully while maintaining an organized, productive daily schedule.
  • Help patients understand next steps, prepare for visits, and feel comfortable throughout the scheduling process.
  • Present treatment fees, estimated insurance benefits, and financial arrangements clearly and professionally.
  • Collect copays, deductibles, coinsurance, balances, and other patient payments.
  • Verify insurance benefits and coordinate insurance-related information with the practice’s third-party billing partner.
  • Maintain accurate patient demographics, insurance information, scheduling notes, and documentation in the EMR/EHR.
  • Prepare professional written communications for patients, referring doctors, and insurance companies.
  • Support administrative operations including reports, payment processing, records, correspondence, and office organization.
  • Assist with referral relationship development and outreach to other healthcare practices.
  • Cross-train for occasional back-office support duties as needed.

Qualifications
  • Minimum- High school diploma or equivalent.
  • Fluent written and spoken English.
  • Excellent phone, customer-service, and interpersonal communication skills.
  • Highly organized, detail-oriented, dependable, and able to manage multiple priorities.
  • Comfortable discussing financial responsibility, fees, and payment arrangements with patients.
  • Comfortable using and learning technology, including Google Drive, Microsoft Excel, cloud-based communication and file-sharing tools, and practice-management/EMR software. Must be adaptable and open to evolving healthcare technology, digital workflows, and new systems that improve patient communication and practice operations
  • Positive, professional, self-motivated, and able to adapt in a growing small-practice environment.
  • Willingness to learn, accept feedback, and participate in cross-training.

Preferred Experience
  • Dental, medical, specialty healthcare, hospitality, or high-level customer-service experience.
  • EMR/EHR or practice-management software experience.
  • HIPAA training and familiarity with confidential patient records.
  • Medical and/or dental insurance verification, billing, or revenue-cycle experience.
  • Familiarity with copays, deductibles, coinsurance, insurance allowable, and treatment coordination.
  • Knowledge of CPT and ICD-10 coding.
  • Treatment presentation, sales, consultative service, or patient financial coordination experience.

Compensation and Schedule
  • Pay: $27–$34 per hour, based on experience and qualifications, Paid time off and bonus.
  • Schedule: Four-day work week, generally 8:30 a.m.–4:00 p.m.
  • Environment: Professional, warm, collaborative, and patient-focused.
  • Non-smoking workplace.
